The order that works

Each step builds on the one before it. Follow them in order the first time; after that, go straight to the chapter you need.

Chapter 1

Start your day on Overview

What needs you, in the order it needs you.

  1. Open Overview. It opens on today's operations for the owner you are working under, with the number of properties assigned to you.
  2. Check Your schedule for viewings and vendor visits. A visit flagged tenant not told is one you still need to arrange with the tenant.
  3. Work down Priority work. Its tabs split the queue into Urgent, Payments, Maintenance, Agreements and Waiting on owner, so you can see what is yours and what is not.
  4. Use Quick Actions to start something directly: create an agreement draft, add a tenant, log a repair, or review payments.

Chapter 2

Find your properties and tenants

What you can see, and why some things are missing.

  1. Open Properties for the properties the owner assigned you. Properties they did not assign do not appear, and that is not a fault.
  2. Open Tenants for the tenants attached to those properties, with their rent status and contact details.
  3. If you work for more than one owner, use Organisations to switch between them. Each owner's records stay separate.

Chapter 3

Chase and confirm rent

The part with the sharpest limit on what you may do.

  1. Open Payments, or the Payments tab of Priority work, to see what is due and what a tenant has sent proof for.
  2. For a tenant past their due date, use Send reminder on the row. That sends a rent status reminder; it does not change the record.
  3. When a tenant has sent proof, open it, check the evidence against what reached the owner, and use Confirm if the owner has allowed you to confirm payments.

Chapter 4

Log a repair and bring in a vendor

The work you can run start to finish yourself.

  1. Open Maintenance, or use Log a repair in Quick Actions, and record the issue against the property with a photograph.
  2. Pick someone from Vendors, assign the job, then use Start work on the row when they begin.
  3. Add an after photograph and close the issue when the work is done. The tenant can then confirm or dispute the repair from their own chat.
  4. If the visit needs the tenant at home, tell them before the date. The schedule flags visits where the tenant has not been told.

Chapter 5

Prepare an agreement for the owner

You draft it; the owner decides.

  1. Use Create Agreement in Quick Actions. What you are making is a draft for owner approval, not a live lease.
  2. Pick the property and tenant, then set the rent, frequency and dates as agreed.
  3. Submit it. It goes to the owner, and you will find it under Waiting on owner until they act.
  4. Once the owner approves and sends it, the tenant signs on their own phone. You do not sign for them.

Chapter 6

Track what is waiting on the owner

Where your requests go, and how to follow them.

  1. Open Approvals to see every request you have raised and where each one stands.
  2. A request sits there until the owner approves or declines it. You cannot approve your own, and retrying will not change that.
  3. If something is urgent and the owner has not acted, contact them directly. The record of your request is already in place, so nothing is lost by waiting.

Chapter 7

Use your activity trail

Your record of what you did, and when.

  1. Open Activity for a log of the actions taken on the properties you manage, with who did them and when.
  2. Use it when an owner or a tenant asks what happened. It is the same record the owner sees, so there is nothing to reconcile.

Chapter 8

What you will not find in the portal

Worth knowing, so you stop looking for it.

  1. Properties you were not assigned, and the owner's wider portfolio view, are not visible to you.
  2. Billing, plans and upgrades belong to the owner. There is no agent-side equivalent.
  3. Deleting a property, marking one sold, and anything else that permanently changes the owner's records goes through approval rather than being available directly.
